Privacy policy Are you a Vendor, Vendor Business Contact or Visitor?

This policy applies to the following types of people who interact with Perfect Gateway:
  • VENDORS: Vendors are individuals who are employees or associates of Perfect Gateway's direct Vendors (for example, event planners, Award Hosts, and so on), including Vendor personnel who have been assigned a login ID and are authorized to access and use our Websites under an active Perfect Gateway agreement, or under a temporary evaluation license, if available. Individuals who self-register to access our Websites are also considered Vendors.
  • VENDOR BUSINESS CONTACTS: Vendor Business Contacts are people who communicate with our vendors via our websites. Current and prospective clients, members, attendees, sponsors, exhibitors, marketing partners, hotel guests, and other business contacts of our Vendors are among them. Individuals who register for an event, for example, are Vendor Business Contacts.using one of Perfect Gateway's Websites, you can attend an event organized by a Vendor, download an event-related mobile app, participate in a virtual event organized by a Vendor, complete an online survey, or reserve a hotel or meeting space using one of Perfect Gateway's Websites, you can attend an event organized by a Vendor, download an event-related mobile app, participate in a virtual event organized by a Vendor, complete an online survey, or reserve a hotel or meeting space.
  • VISITORS: Individuals and prospective Vendors who interact with our websites (for example, to access our Supplier Network as a non-Vendor, read about Perfect Gateway products and services, download a white paper, or sign up for an online demo), and who we meet at a tradeshow or learn about through a referral from third parties or other external sources.

What kinds of personal data do our Vendors collect?

Our Websites are versatile, allowing our Vendors to collect a wide range of personal data from and about their Vendor Business Contacts, such as name, organization, title, postal address, e-mail address, telephone number, fax number, social media account ID, credit or debit card number, and other information such as meal preferences, interests, opinions, activities, and occupation. We encourage Vendor Business Contacts to review the privacy policies of the Vendors to better understand the types of data collected.
Perfect Gateway will only use personal information collected through our Websites to provide the service for which our Vendors have hired Perfect Gateway, to improve our services, or as required or permitted by law. If you do not agree with our policies, you may choose not to use our website.

How do our Vendors collect personal data?

As shown in the examples below, vendors can use our customizable Websites to collect personal data in a variety of ways. We encourage Vendor Business Contacts to review the Vendors' privacy policies to better understand how the personal data is collected. When Vendor Business Contacts enter personal information into our Websites voluntarily and explicitly.
When our Vendors enter Vendor Business Contacts into our Websites, they do so when permitted, such as when they have a legitimate business interest or obtain explicit consent from a Vendor Business Contact.
As Vendor Business Contacts interact with our Websites, commonly used information gathering technologies such as cookies are used automatically. See the section below titled "How does Perfect Gateway use cookies and similar technologies?" for more information on these technologies.

How do our Vendors use personal data?

If a Vendor Business Contact chooses to conduct business with a Vendor through our Websites (for example, register for or check into an event, respond to an online survey, or participate in an online contest), any information provided in connection with that interaction will be transferred to, and under the control of, the Vendor.
As a result, Perfect Gateway cannot and does not accept responsibility for Vendors' privacy practices. Our Vendors' information practices are governed by their privacy policies. We encourage Vendor Business Contacts to read the privacy policies of the vendors in order to understand their practices and procedures.

Does Perfect Gateway use or sell personal data collected by our Vendors?

Perfect Gateway does not use the personal information of our Vendor Business Contacts for any purpose other than providing the services that our Vendors have contracted us to provide through our Websites, as noted below, improving our services, or as required or permitted by law. Perfect Gateway does not sell any of our Vendor Business Contacts' personal information.

How does Perfect Gateway collect and process personal data from our Vendors and their Vendor Business Contacts?

We collect personal information from our Vendors in order to facilitate communication and the delivery of the Websites that our Vendors are interested in or have contracted us to provide. We may collect Vendor contact information, for example, through the execution of a contract, the use of our services, a form on our website, questions submitted to our chat agent, an interaction with our sales or Vendor support team, the registration for an event, or a response to one of our surveys or marketing emails.
We and our vendors collect Vendor usage information about how our Vendors interact with our Websites. This includes which webpages you visit, what you click on, when you perform certain actions, what language preference you have, what you buy, and so on. We process Vendor’s and their Vendor Business Contacts’ personal data in the following manner: To disclose to our subsidiaries and affiliates for the purpose of providing services to our Vendors and their Vendor Business Contacts. To disclose to contractors, service providers, and other third parties as reasonably necessary or prudent to provide, maintain and support our Websites for our Vendors and their Vendor Business Contacts, such as, for example, payment processors and data center or Web hosting providers. Perfect Gateway does not share, sell or trade any information with such third parties for any promotional purposes. To deliver the services that our Vendor has contracted us to provide through our Websites. Some examples include: If a Vendor Business Contact uses our Websites to register for an event, we will use their provided e-mail address to send them information and announcements relating to that event.
If a Vendor Business Contact uses one of our Websites to pay for event registration fees or other products and services using their credit cards, we will pass the credit card information to payment card processors to validate the payment information and complete the transactions. When a Vendor or Vendor Business Contact uses their social media credentials to share information on their social media platform or to log into one of our Websites, we will share information with their social media account provider. The information we share will be governed by the social media site’s privacy policy.
To disclose to event organizers, exhibitors, or other attendees, as directed by a Vendor or consented to by a Vendor Business Contact, such as by consenting to having an exhibitor scan their event badge to share their contact information, opting-in or clicking to give consent to receive exhibitor information, or actively consenting to share information in a Perfect Gateway Website (e.g., name, contact information, profile picture, survey responses, Q&A features, comments, messages, poll responses, etc.).
As instructed by Vendor, to connect Vendor Business Contacts with one another by relying on matching algorithms to recommend compatible Vendor Business Contacts for optional business networking.
To deliver to a third party in the event of a merger, divestiture, restructuring, recapitalization, reorganization, dissolution or other sale or transfer of some or all Perfect Gateway’s assets, whether as a continuing operating business or as part of bankruptcy, liquidation or similar proceeding, in which personal data held by Perfect Gateway about our Vendors and Vendor Business Contacts is among the assets transferred.
For our internal business purposes that include administering access and use of our Websites, data analysis, securely identifying Vendors upon logging onto an Website, enhancing or modifying our Websites, determining the effectiveness of our promotional campaigns, billing for Services, and operating our business. As we believe to be necessary or appropriate: (a) under applicable law, including laws outside your country of residence; (b) to respond to requests from public and government authorities including public and government authorities outside your country of residence; and (c) to protect against or identify fraudulent transactions.
For other purposes when Vendor Business Contacts provide explicit consent. We aggregate information about (i) Vendors and Vendor Business Contacts, and (ii) the use of our Websites in order to improve our Websites and to create benchmark and other business intelligence products. None of the aggregated information contain personal data (i.e., does not identify any individual).
What is the legal basis for Perfect Gateway to process personal data? We reserve the right to record Vendor phone (or video) calls to our Client Services. The nature and circumstances of the processing activity will determine our legal basis for collecting and using their personal information. Where we act as a processor for our Vendors, our legal basis may be contract fulfillment or consent. Where we are the controller, our legal basis will be consent or legitimate interest if the processing is in our legitimate interests and is not outweighed by the individual's data protection interests or fundamental rights and freedoms. These interests include providing individuals with access to the Websites and features of the Websites, sending them information they have requested, and ensuring the security of our Websites by attempting to prevent unauthorised or unauthorized access.
How long does Perfect Gateway store personal data collected by our Vendors? Unless otherwise provided in our contract with our Vendor, we process the data until 90 days after the termination of the contract, at which time we remove it from our production environment. Within 13 months, we remove the data from our backup media. How can a Vendor Business Contact access, correct or delete their personal data? Vendor Business Contacts can also ask for some types of personal data to be delivered to them, or another organization they nominate, in a structured and machine-readable format.
Where we process your personal data on the basis of your consent, you have the right to withdraw your consent. See the Perfect Gateway contact section below. The withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal. Vendor Business Contacts also have the right to complain to a supervisory authority for data protection in the country where they live, or where they work – although we hope that we can assist with any queries or concerns you have about our use of your personal data.
Perfect Gateway processes Vendor Business Contacts' data under the direction of our Vendors and has no direct control or ownership of the personal data we process. Vendors are responsible for complying with any regulations or laws requiring notice, disclosure or obtaining consent prior to transferring the data to Perfect Gateway for processing purposes. Any Vendor Business Contact that seeks to access, correct or delete data, should direct their query to the Vendor. If the Vendor requests Perfect Gateway to delete, rectify or access the personal data of a Vendor Business Contact to comply with data protection regulations, Perfect Gateway will process this request within the required time under the applicable regulation or law
We will not accommodate a request to change information if we believe the change would violate any law or legal requirement or cause the information to be incorrect. In such instances, we will inform the Vendor about the legal obligations that prevent us from fulfilling the request. How can a Vendor access, correct, or delete their personal data? Vendors have the same rights to access, correct or delete their personal data as outlined above. Any Vendor can access, correct or delete their data, or their Vendor Business Contact data by submitting a request on our website. Perfect Gateway will process this request within the required time under the applicable regulation or law. We will not accommodate a request to change information if we believe the change would violate any law or legal requirement or cause the information to be incorrect. In such instances, we will inform the Vendor about the legal obligations that prevent us from fulfilling the request. We will maintain an audit history of any requests to access, correct or delete personal information to maintain a record of compliance with regulatory requirements.

How does Perfect Gateway secure the data it processes?

To protect personal data within our organization, we employ a variety of organizational, technical, and administrative safeguards. We adhere to generally accepted standards to safeguard the personal information submitted to us, both during transmission and after receipt. Regrettably, no data transmission or storage system can be guaranteed to be completely secure. If you have reason to believe that your interaction with us is no longer secure (for example, if you believe the security of any account you may have with us has been compromised), please notify us as soon as possible by contacting us using the information provided in the "Contact" section below.
